How to Plan Oversize Routes Without Delays

An oversize move can look simple on a map and still fail at the first overpass, narrow turn, or jobsite gate. Knowing how to plan oversize routes means treating the route as part of the load configuration, not as a last-minute dispatch detail. The machine dimensions, trailer choice, axle count, permit conditions, and delivery access all affect one another. Change one of them and the route may need to change with it.

For contractors moving equipment across Arizona, Nevada, or Southern California, the most expensive delay is rarely the linehaul itself. It is a crew waiting on a machine that is stuck at a restriction nobody checked, a permit that was requested for the wrong dimensions, or a delivery site that cannot accept the trailer selected for the move.

Start With Verified Load Dimensions, Not the Spec Sheet

A manufacturer spec sheet is a useful starting point, but it is not enough to permit a load. Real transport dimensions include attachments, track pads, handrails, counterweights, exhaust stacks, tire width, and anything left in the cab or on the deck. An excavator that is legal after the boom is positioned and the bucket is removed may become a height or width problem if it is loaded in a different configuration.

Weight needs the same scrutiny. Use the actual machine weight, then add attachments, rigging where applicable, and the trailer's axle arrangement. A 70,000-pound excavator may be manageable on one lowboy configuration but require a different setup if the counterweight, bucket, or hydraulic hammer travels with it. A 9-axle combination can spread weight where bridge formulas or state axle limits demand it, but more axles also mean more length, more turning radius, and potentially more jobsite access issues.

Experienced heavy haul planners establish the loaded height, loaded width, overall length, gross weight, axle weights, and axle spacings before applying for permits. Guesses create permit amendments. Amendments cost time, and they can force a different travel window or escort requirement.

Match the Trailer to the Route and the Machine

The lowest deck is not automatically the best choice. A detachable RGN may be the right answer for a tall crawler excavator because reducing loaded height keeps the route under a critical structure. It also allows drive-on or winch-on loading without relying on a steep ramp angle. But an RGN is longer and needs room to detach, load, and turn. That can be a problem at a tight urban jobsite or a mine access road with limited turnaround space.

A lowboy can be faster and more practical for equipment that can be loaded safely by ramp or crane. A Landoll tilt deck often makes sense for wheeled equipment, attachments, or machinery that needs a controlled loading angle. The tradeoff is deck height and weight distribution. A trailer that works well for a wheel loader may create an unnecessary height issue for a tall paving component.

One mistake contractors make is treating trailer selection as a carrier preference. It is a route-planning decision. The right equipment is the setup that legally carries the machine while minimizing route restrictions and allowing safe loading at both ends. A shorter route with an unsuitable trailer can cost more than a slightly longer route that avoids a low clearance, weak bridge, or difficult delivery approach.

Account for Machine Preparation

Route planning starts before the machine touches the trailer. Remove or reposition attachments when that meaningfully reduces width, height, or weight. Secure articulated components, lower booms and masts to the intended travel position, and confirm that loose items are not left in the cab. For track equipment, inspect the tracks and confirm the machine can load and unload under its own power if that is the plan.

Preparation has a tradeoff. Removing a bucket, blade extension, or counterweight may add labor and handling equipment at both ends. Still, that work can be cheaper than needing a more restrictive permit, additional escorts, or a route that adds hours to the move. The decision depends on the restriction being avoided, not on a blanket rule that every attachment should come off.

Build the Permit Route Before Promising a Delivery Time

Permits are not simply a piece of paper that makes an oversize load legal. They often specify the approved route, allowable travel times, escort requirements, lighting, signage, and restrictions at structures or construction zones. The route listed on the permit is the route the truck must follow unless a revision is approved.

In the Southwest, a route between Phoenix and Las Vegas may look straightforward using Interstate 40 and US-93. The actual permitted route depends on dimensions, weight, active roadwork, bridge restrictions, and local rules near the origin and destination. The same is true on I-17 north of Phoenix, I-10 toward Southern California, and mining corridors where the final miles may be county roads or private access roads.

A sound permit strategy works backward from the delivery requirement. If the site needs the machine at first light on Monday, the planner needs to know when each state allows that load to travel, whether weekend or holiday restrictions apply, and whether escorts can be scheduled. A load that is permitted for daylight-only travel cannot recover a late start by simply running through the night.

For multi-state moves, permit lead time is dictated by the slowest approval, not the quickest one. Local city permits, utility notifications, and special bridge reviews can become the controlling factor. Planning early does not mean applying with incomplete information. It means collecting exact dimensions and axle data early enough to submit a correct application the first time.

Check the Route Beyond Highway Clearance

A route review should test the truck's entire operating path, from the pickup gate to the final unloading position. Highway clearance is only one piece. The practical questions are often at the endpoints: Can the tractor and trailer enter the yard? Is there room to swing wide without hitting a fence or parked equipment? Can the machine unload on firm, level ground? Is there a safe place to detach an RGN?

Before dispatch, verify these five items:

  • Vertical and horizontal clearances, including temporary construction conditions and signs that reduce usable clearance.

  • Bridge restrictions and axle-group limits based on the actual trailer configuration.

  • Turning movements at interchanges, fuel stops, weigh facilities, gates, and final delivery streets.

  • Travel restrictions, escort requirements, and any utility or law-enforcement coordination.

  • Pickup and delivery conditions, including ground bearing, grade, traffic control, and space to load or unload.

Bridge analysis is especially important on overweight moves. Gross weight alone does not tell the full story. A permit office may approve a gross weight but require a certain number of axles, defined spacings, or a specific bridge crossing. Shifting a machine forward on the deck to solve a kingpin weight issue can change axle-group weights enough to affect permit compliance. Load placement and route approval need to be reviewed together.

Plan Escorts and Travel Windows as Field Operations

Escort vehicles are not decorative permit requirements. They create space for the load, alert traffic, assist with restricted turns, and communicate with the driver when sight lines are poor. For extra-wide, long, or high loads, escorts may be required ahead, behind, or both. Certain conditions may require law-enforcement support or utility coordination.

Do not schedule escorts after a permit arrives and assume availability. On a time-sensitive move, their availability can dictate the departure time. The same goes for travel windows. Some jurisdictions restrict oversize travel during commuter periods, at night, on weekends, or during holiday periods. Wind, heat, and monsoon activity can also affect a move, particularly for tall crane components, lightly loaded trailers, or exposed desert corridors.

The best dispatch plan includes time for the ordinary problems: a slow fuel stop, a traffic control delay, a jobsite crew that needs to clear access, or a last-mile turn that takes longer than expected. A schedule with no margin is not an efficient schedule. It is a schedule that assumes every variable behaves perfectly.

Coordinate the Jobsite Before the Truck Arrives

The haul can be fully permitted and still end in a failed delivery if the site is not ready. The receiving superintendent should know the trailer type, estimated arrival window, unloading method, required travel path, and space needed to turn around. A lowboy may be able to unload in a constrained area where an RGN cannot detach. Conversely, an RGN may be the safer choice where ramp loading a large crawler machine is not practical.

Ground conditions matter. Soft shoulder material, fresh fill, uneven grades, and buried utilities can turn a normal unload into a recovery situation. The delivery area should be graded, compacted where necessary, and clear of conflicting trades, parked vehicles, and overhead obstructions. If unloading requires the machine to travel off the trailer, confirm there is a stable exit path rather than assuming the operator can make one work.

A well-planned oversize route is not the shortest line between two points. It is the route and load configuration that can be permitted, traveled legally, and completed without improvising at a bridge, gate, or unloading area. Get the dimensions, trailer plan, and site conditions settled early, and the move has a much better chance of arriving when the project actually needs it.
